How to Perform Limited Share in DEMS

Limited sharing allows you to share content with users within and outside your portal by assigning them a Limited Share license. The license specifies the viewing or editing rights granted to users for the evidence shared with them.

Prerequisites

Ensure you belong to a group with:

  • Limited Sharing feature enabled
  • Access to the portal's Evidence Library and pages to manage uploads

Limited Sharing Evidence

  1. Navigate to your portal's Evidence Library by selecting Home on the navigation pane.
  2. Select Limited Share from the overflow menu of the evidence you want to share.
  3. To share multiple files, select them and select Limited Share from the top menu.

The Limited Share window provides two sharing methods:

  • Search users and groups - Add portal users or distribution groups
  • Share with anyone using a link - Generate a shareable link

Share content with anyone using a link, even users not registered with VIDIZMO. Link sharing is restricted to viewing rights only.

  1. Select Share with anyone using a link.
  2. Select the license type:
    • Viewer - Grants unlimited viewing access
    • Limited Viewer - Grants viewing access for a specific duration
  3. If Limited Viewer is selected, set the availability start date and time.
  4. Set the expiration date and time when access ends.
  5. Select Save.

After creating the link:

  • Copy - Copy the link to clipboard
  • Edit - Modify availability or expiration settings
  • Delete - Revoke access for all users with this link
  • Create additional links with different licenses by selecting Share with anyone using a link again
  1. Select Save Changes to save your limited share settings.

Limited Sharing with Users and Groups

Add portal users or distribution groups via the search field. When a distribution group is added, all users in the group receive the limited share license.

  1. Search for users or groups by name or email.
  2. Select the license type:
    • Viewer - Unlimited viewing access
    • Limited Viewer - Viewing access for a specified duration and number of views
    • Editor - Unlimited viewing access with permissions to modify the evidence
    • Limited Editor - Viewing and editing access for a specified duration and number of views
  3. For Limited Viewer, configure:
    • Access duration (start and end dates)
    • Number of views (unlimited or limited)
  4. For Editor or Limited Editor, configure editing permissions:
    • Specific actions the user can perform on the evidence
  5. Use Edit to modify license settings or Delete to remove access.
  6. Select Save Changes to save configurations.

Users receive an email containing a link to the shared evidence.

Limited Sharing via Evidence Settings

  1. Navigate to the evidence and select Settings from the overflow menu.
  2. To configure multiple files, select them and select Settings from the top menu.
  3. Select the Access and Sharing tab.
  4. Under Limited Sharing, select Share to open the Limited Share window.
  5. Configure the limited share settings.
  6. Select Save or Save And Close.

NOTE: Select Limited Share Only under Who can access it? to restrict access to users with Limited Share licenses only.

Limited Sharing with External Users

Share evidence with users outside your portal, such as customers or partners. External users must register as Public Users before accessing shared content.

Enable Sharing with External Users

  1. In VIDIZMO, go to Control Panel > Security > Security Policy.
  2. Set the security policy to Custom.
  3. Under Sharing Options, select Allow sharing with external Viewers.
  4. Select Update.

Share Evidence with External Viewers

  1. Navigate to the evidence and select Limited Share.
  2. Enter the external user's email address and press Enter or select Add User.
  3. Configure the license type and settings.
  4. Select Save Changes.

The external user receives two emails:

  • Registration link to register as a public user
  • Link to access the shared evidence
