How to Manage and Revoke Chat Shares in VIDIZMO
As the owner of a conversation, you control its shares at any time — change a recipient's access level, adjust how long their access lasts, or remove access entirely. You do all of this from the same Share modal you used to share the conversation.

Open the share list
- In the chatbot, select the caret next to the conversation title and select Share. You can also open it from the conversation's options (…) menu on the My Conversations tab in the sidebar.
- Review the list. Each entry shows the recipient (a user, a group, or Anyone with the link in your portal), its access level, and its validity window.
Change a recipient's access level or permissions
- On a recipient's row, select the dropdown to switch between Viewer and Collaborator.
- To adjust the Collaborator permissions, select the options (…) menu on the row, then select Edit.
- Turn the permissions on or off, then select Apply.
- Select Save Changes.
Note: Updating an existing recipient's access level or permissions doesn't send a new email. Email goes out for new invites only.
Change or remove a validity window

On the recipient's row, select the options (…) menu, then select Edit.

Use the Set validity window toggle and the Valid from / Valid until fields:
- Turn the toggle on to add a time limit, or off to let the share run with no expiry.
- Change a date to move when access opens or ends.
- Clear either side for an open-ended window.

Select Apply, then select Save Changes.
Revoke access
Revoke a single invite
- On the recipient's row, select the options (…) menu, then select Delete.
- Confirm when prompted.
The conversation disappears from that recipient's Shared With Me list right away. If they had it open, they see a notice that their access was revoked.
Disable a link
- On the Anyone with the link in your portal row, select the options (…) menu, then select Delete.
- Confirm when prompted.
The link stops working immediately.
Note: A link can't be re-enabled after you revoke it. Generate a new link if you want to share by link again.
Revoke all invites at once
- Select Revoke all below the share list, then confirm. Every recipient loses access at once.
What revocation doesn't affect
- Private copies stay with their owners. If a recipient made a copy with Start my own copy, that copy is theirs and is unaffected when you revoke the original share.
- Expired shares remain listed. When a validity window ends, access is removed automatically, but the entry stays in the list as a record. Delete it manually if you want it gone.
