How to Subscribe to Alerts on Flagged (Sensitive) Evidence Files

Once a user has flagged content, they can subscribe to a list of events applicable to an evidence or case that they have access to within the portal.

Prerequisites

  • Ensure you belong to a group with Flagging feature enabled, or have a CAL that grants permission to utilize it. By default, the feature is enabled in the Content Manager security group.

Set Default Notification Preferences

A user who is authorized to receive alerts can manage settings for these notifications. Before flagging any evidence or case, users can set their default notification preferences via the User Profile section, which will then be applied on all evidence or cases flagged from that point onwards.

NOTE: If you set your default notification preferences after having already flagged some evidence or cases, the new preferences will not apply to them. They will only be applicable to evidence or cases you flag thereafter.

  1. Select your user name to open the My Profile section.
  2. Select Notification Settings.
  3. The Notification Settings page displays sections for the following:
    • Flagged Evidence: Alerts applicable to all types of digital evidence such as image, audio, video, and document. You can set a different policy for each type of digital evidence.
    • Flagged Case: Alerts applicable to cases within the portal, such as when evidence is added to a case or when a case's access rights change.
    • Flagged Folder: Alerts applicable to flagged folders within the portal.

Once you set your default notification preferences, you will not be prompted to set preferences every time you flag evidence or a case. However, if no default policy exists, the system will ask you to set preferences at the time of flagging.

Flag Sensitive Content

  1. Select the overflow menu (three dots) on the evidence you want to flag.
  2. Select Flag.
  3. The notification preference screen appears. From here:
    • Subscribe to all available events by enabling the Enable All toggle, or subscribe to individual events of your choice.
    • Select Save as Default Settings to save these settings for all future flagged evidence.
    • Select Update to save these settings for that particular evidence only.

NOTE: The notification settings screen only appears if you have not set your default notification preferences from the user profile.

Unflag Content

  1. Select the overflow menu (three dots) on the flagged evidence.
  2. Select Unflag.

To flag or unflag a case, follow the same steps from the cases view.

Bulk Flag Sensitive Content

VIDIZMO allows you to flag or unflag evidence and cases in bulk.

  1. Select multiple evidence items.
  2. Select Flag from the menu bar.

NOTE: When you flag evidence in bulk, you can set a policy on all selected evidence types. The resulting notification preference dialog displays different sections for different types based on your selection (such as Video and Audio). Preferences set in a specific section apply only to that type of evidence.

Manage Flagged Content

To view flagged content, select Flagged from the navigation menu on the left side of your DEM Portal. The Flagged Content screen appears, showing flagged evidence by default.

From this screen, you can:

  • Centrally supervise all confidential content from one section
  • Toggle views to manage flagged cases and evidence separately
  • Sort sensitive files based on various parameters such as last modified date
  • Switch views to expand or collapse details
  • Filter files based on various system-generated or user-generated attributes

Set Custom Notification Preferences

To update the notification policy for already flagged evidence or cases:

  1. Go to the Flagged section from the navigation menu.
  2. Locate the evidence or case for which you want to update the notification policy.
  3. Select the notification preferences option for that item.
  4. Update the notification preferences from the configuration screen that appears.
